Guest Policy

Members may introduce up to 8 guests (per membership year) to the courts on payment of a fee to a member of the committee court side or paid online directly into the Club’s bank account.

The current fee for 2025 to 2026 is £5 per guest, per visit, to a maximum of 4 visits per guest per year.

No individual guest may be permitted to play on the courts more than 4 times a year. The committee shall have the power to limit the number of guests that may be introduced by any one member on any one day.

Guests wishing to play regularly on HLTC courts should be invited to apply for membership.


New Membership Process

From 2016, we will be using a new paperless method of Membership renewal via Clubspark, an LTA provided membership facility.

The renewal process is simple however to assist members, a set of instructions on each stage of the process can be downloaded here.

HLTC Privacy Notice

We collect and store the personal details that you have provided using the LTA ClubSpark Online Venue Management Tool for the sole purpose of managing your club membership.

We do not share your details with any third party. We only use your email address to send out periodic newsletters advertising club events.

Access to ClubSpark is strictly controlled, username/password protected and access is restricted to the membership secretary, the chairman and the club secretary.

We publish the name, email and telephone numbers of adult members on the username/password protected members area of the HLTC web site and also electronically with team captains so that you can be contacted for matches, tournaments or social play.

If you wish to be removed from the members list please contact the Membership Secretary

Many Congratulations to Mick Hooker

Mick has now achieved his goal that he set for himself a time ago. To advance to the Wimbledon ITF British Masters Grass Court Championships championship match. After a year of competing in challenging ITF tournaments across the nation and winning enough games to gain the necessary ranking points, he was able to enter Wimbledon. He reached the Wimbledon final on 30th Aug 2023 after being seeded No. 2, competing in challenging quarterfinal and semifinal matches. Despite playing Neil and Andrew, the No. 1 seeds, who have both played for Great Britain, in a close match, he lost, but won’t soon forget the experience.

Summer Tournament 2023 – Finals

HLTC Finals Day 21/22 July 2023

What a grey, wet and blustery day – a complete contrast to last year’s sweltering Finals Day!

In spite of this awful weather, all but one of the finals matches were played with the Mixed Doubles being rescheduled for mid-August.

Well done all the players including siter and brother Tara and Dhruv Chandra who battled it out for the Lack Cup.

On a hat trick was Simo Pata with a win partnering Stephanie Bloor in the Ladies Doubles Plate, a second win in the Ladies Singles Plate and a third win in the Mixed Doubles Plate with her partner Shivang Patel and she still looked fresh as a daisy by the evening.

A huge thank you to Hugh Watson who spearheaded the organisation of the whole Tournament and well done, Hugh’s little helpers who had a great time on Saturday.  An enormous thank you to Patti Axten who was in charge of organising all the trophies and other prizes and Andy Bunyan for his Pimms stall.  Thank you also to the many helpers, too numerous to mention, who fetched and erected the umpire chairs and to Wendy Driver and her helpers who organised the food in the Club house for the BBQ afterwards.

Dear Club Member,

 

Tournament Rules 

  1. The Tournament Committee shall be: Tournament Coordinator – Hugh Watson; Tournament Referee – Pete Rutland; Google Docs Administrator – KK.
  2. The Tournament Referee and Tournament Co-ordinator, in consultation with Men’s and Ladies’ Team Captains, will decide the Seeding in each event.
  3. You must play each round by the scheduled completion date or withdraw from the tournament. If both player/pairs have offered 3 dates and are still unable to agree a time please contact Pete Rutland immediately.  If players have trouble arranging matches both have the requirement to contact the tournament referee BEFORE the deadline (so referee can assist) or both players/pairs may be scratched.
  4. All doubles matches will consist of 3 tiebreak sets, including the final set.
  5. Singles matches will consist of 2 tiebreak sets, followed by a Championship tiebreak if it goes to one set all. If mutually agreed at the outset, players may choose to play 3 tiebreak sets.
  6. If any match is not completed on the day on which it commenced (e.g. due to rain or bad light) that match will recommence from the score at the time it was interrupted.
  7. All results must be entered on the internet Result Sheet, by the winning player, within 24 hours of the match being completed.
  8. The Tournament Referee reserves the right to scratch any player/pair he considers to have acted in breach of the Tournament Rules. In particular, any player (including a player in a doubles pairing) who is unavailable to play a round by the play by date, subject to the discretion of the Tournament Referee, will be treated as having withdrawn from the Event.
  9. By entering the Event all entrants agree that they are available to play on Friday 3rd and Saturday 4th July 2026. If competitors subsequently become unavailable to play on Finals Day, they should either scratch from the tournament immediately, or concede at match point in a subsequent round.
  10. WhatsApp groups will be set up by the Tournament Coordinator for scheduling matches. Where round deadlines are approaching, reminders may be sent where matches have not yet been scheduled.
  11. Should any player who has progressed beyond the semi-final stage become subject to injury/personal indisposition prior to or during Finals day, the Tournament Referee (subject to the seriousness of the circumstances) may allow postponement of any affected events on Finals day. Such discretion shall be exercised in exceptional circumstances only.

Volunteer Role Descriptions

Harrow Lawn Tennis Club was founded in 1880 and is one of the oldest tennis clubs in the country, even the world. Club Minutes date back to 1893.   The Club uses Harrow School’s tennis courts.  It is managed by a Committee of elected members and strives to provide a welcoming and fun tennis experience for all.  The Club acknowledges and actively promotes the welfare of children and adults at risk.  Safeguarding and other policies are available on its website (www.hltc.uk).

Committee Member Role Description

Overview of the Role

  • To organise and oversee weekend Social Tennis and the Club’s Social   Ladders
  • To assist Men’s Captain with the co-ordination of Men’s team tennis

What you will be doing

Responsibilities are likely to include:

  • Overseeing the smooth running of social play on Saturday and Sunday
  • Co-ordinating Men’s coaching sessions
  • Organising some social tournaments
  • Liaising with Men’s Captain, Club Captain and team captains about identifying players for teams
  • Running the Club Singles and Doubles ladders through the Scala app
  • Attending and contributing to committee meetings (normally between 4 and 6 pa)
  • Attending and supporting the running of the Annual General Meeting (AGM)
  • Making decisions with the committee in the best interests of our members and club
  • Supporting the President, Secretary, Treasurer, Membership Secretary and Club Captain and other key volunteers in their roles
  • Welcoming new members courtside and ensuring they are included in social play
  • Advising Men’s and Ladies Captains when new players join who are experienced players so that they can be assessed for appropriate teams
  • Supporting the Welfare Officer in promoting Safeguarding to members
  • Running the end of month American tournament once a year
  • Providing support with the set-up and running of any club events
  • Encouraging ad-hoc enquirers to visit our website regarding membership

  • Before starting in this role, you will receive guidance from other members of the Committee

  • The time commitment for this role is flexible and will depend on your areas of expertise.

Further Information

  • Some committee roles require a DBS check. This is dependent on your contact with children and/or adults at risk and/or access to confidential information.
  • As Juniors take part in Team practice and social tennis it is recommended that a DBS is obtained and a Safeguarding course undertaken

Main Committee:

Position Name
Club President Pete Rutland

Serving as head of the committee to lead and guide all aspects of club policy and to ensure the club functions efficiently.  To have responsibility for overseeing the day to day running and management of the club and to make decisions on behalf of the committee once club members have been consulted.  Act as spokesperson for the club. Support current committee members, identify and develop future leaders and committee members and confer with the Immediate Past President to ensure continuity. Set goals for annual and long range planning and liaise with the Club Secretary to agree meeting agendas.

Secretary Kaustubh Kulkarni

The secretary handles the basic administration to ensure the smooth running of the facility.  The role evolves making records, dealing with correspondence and other communications particularly with members via regular emails. Being the first point of contact for all enquiries, updating HLTC’s details on the LTA’s Places to Play website, organising the AGM, organising and attending committee meetings, taking and distributing minutes, maintaining accurate records and coordinating the ClubSpark bookings. The Secretary liaises with the British Tennis Membership Association. The secretary submits annual registration to the LTA.

The treasurer takes on the responsibility for keeping accurate financial records and ensuring they relate closely to the development/business plan.  Work closely with the committee to provide annual budgets and regular financial reports in order to make informed decisions and monitor performance against the budget.  Keep up to date records of all the financial transactions, reports regularly to the committee on the financial status, prepares year end statements of accounts to be presented to the auditor, presents end of year financial report to the AGM.

To put in place and action HLTC’s Safeguarding and Child Protection policies and plans in accordance with the LTA’s recommendations.  To promote the club’s Safeguarding and child protection policy and procedures and to act as a point of contact for all matters relating to children’s welfare, ‘safe guarding’ and child protection issues.  The Welfare Officer ensures that each of the LTA’s Safeguarding Standards are met including DBS checks are up to date and coaches are accredited.
